What BuildXLR8 Is

The whole operating system, built one cycle at a time.

The 30-Day Pilot Build proves five modules. BuildXLR8 builds the rest. More modules, integrations with the tools your team already runs (Microsoft 365, the ERP you outgrew, WhatsApp, and more), the reporting layer, the full operating system.

The 30-day milestone cycle is the rhythm. Each cycle ships a working increment. The total is decided by the cycle count, not locked at the start.

Four 30-day cycle blocks growing left to right (Cycle 1 through Cycle 4+), each adding more modules to a custom operating system, with integration chips for Microsoft 365, Your ERP, WhatsApp, and more below. Caption: scoped per build, modules vary by operation.

How BuildXLR8 Runs

Cycle by cycle, locked before each one starts.

The structure is the risk reversal. You are never exposed to more than one milestone at a time.

01

Requirements and Design milestone

Bounded, paid, ends in a signed-off clickable prototype and a written spec. Build does not start until you sign off on both.

02

Build milestone, fixed price, fixed scope

Each 30-day cycle's scope is written in advance. No change orders inside a cycle. What ships at the end is what was agreed at the start.

03

Acceptance gate

The milestone must meet written acceptance criteria before the next is invoiced or started. You are never paying for two cycles at once.

04

Handover at each milestone

On each milestone's completion and sign-off, that milestone's code is handed over to you. Documentation, demo videos, and training arrive at project completion, all per the agreed contract. Walking away costs you nothing because what is built is already yours.

The Four-Part Guarantee Stack

Risk reversal in the contract, not the marketing copy.

Four named guarantees. The milestone structure is the risk reversal. You are never exposed to more than one cycle.

GUARANTEE 01

On-Time Guarantee

10%

Cap on the discount

Each milestone ships on its date, or that milestone is discounted.

  • 10% off per week late, when the slip is our sole fault
  • Triggers on a milestone we miss, not on scope you move
  • Capped at 10%, credited against the fee already paid

GUARANTEE 02

Acceptance Guarantee

1 cycle

Agreed at a time, max

Each milestone must meet written acceptance criteria before the next is priced, agreed, or started. You are never paying for two cycles at once.

  • Acceptance criteria written into the scope upfront, not after delivery
  • You decide if it meets the spec. We keep working at no extra charge until it does
  • The next milestone is not priced or agreed until you sign off on the current one

GUARANTEE 03

Walk-Away Guarantee

$0

Cancellation fee

Stop after any 30-day cycle. No penalty. You hold every completed and signed-off milestone.

  • Each completed milestone's code is handed over to you on sign-off
  • Deployment, secrets, and runbook handed over per cycle
  • We hold nothing over you, ever

GUARANTEE 04

No-Deprioritisation Guarantee

2

Builds in delivery max

Founders accountable on every milestone. Your build is never paused for a larger client.

  • Capacity capped at two builds in delivery at a time
  • Founders accountable, named on the contract, with a senior team building
  • If we ever pull resources, the On-Time Guarantee triggers

Honest Exclusion

Who BuildXLR8 is for, and who it is not.

Good fit

  • Operators of roughly 10 to 500 people whose business has outgrown the manual layer
  • Manufacturing, Logistics, Trading and distribution, and Import and export operators
  • Teams ready to run on custom software, not another SaaS subscription
  • Owners willing to make decisions inside 24 to 48 hours per milestone

Not a fit

  • Enterprise ERP replacements (SAP, Oracle, NetSuite)
  • Multi-tenant SaaS products with millions of end users
  • Generic build-anything briefs without a defined operation to replace
  • Anything requiring formal SOC 2 or HIPAA audit inside a single cycle

Three Tiers

Pick the altitude. Scope it after Map and Scope.

Every figure is a from figure. Final scope is custom-curated after the Map and Scope, then built milestone by milestone.

Focused

From $20,000

A single high-value system or a tight cluster of workflows, built properly.

  • One operation, end to end
  • Built across a small number of milestone cycles
  • The fastest route to a working custom system
Most chosen

Operations

From $40,000

The connected operating layer across several of your core workflows.

  • Multiple operations, integrated
  • Reporting and roles across the platform
  • The common starting point for a real operating system

Full Platform

From $75,000

The whole operating system, no ceiling, scoped cycle by cycle.

  • The full custom operating system
  • Integrations with the tools your team already runs
  • No ceiling. Scoped to where the operation needs to go

Full Platform has no ceiling. The tier sets the starting point, not the finish line.

Vertical milestone timeline of four BuildXLR8 cycles, all scoped at the start of the engagement. Cycle 1 delivered (Pay, Build, Accept all complete). Cycle 2 in progress (paid, currently building, acceptance pending). Cycle 3 up next. Cycle 4 queued. Each cycle shows the Pay, Build, Accept progression as the only state that changes from cycle to cycle.

Pricing and Payment

Three tiers. Priced and agreed per milestone, in advance.

Focused from $20,000, Operations from $40,000, Full Platform from $75,000 with no ceiling. These are from figures. Final scope is custom-curated after the Map and Scope. Each milestone is priced and agreed before it begins, acceptance-gated, and paid in advance. The rule we keep: no runaway costs, because we never start a milestone that has not been agreed and paid.

You are buying one 30-day cycle at a time. The total is the outcome of the cycle count, not a number we lock in at the start.

What is BuildXLR8?

BuildXLR8 is BuildXLR8's full custom operational software build for businesses of roughly 10 to 500 people, delivered in 30-day milestone cycles. Each cycle is scoped, priced, and accepted on its own. Most builds resolve in three to six cycles. It comes in three tiers: Focused from $20,000, Operations from $40,000, and Full Platform from $75,000. These are from figures. Final scope is custom-curated after the Map and Scope.

How is BuildXLR8 different from the 30-Day Pilot Build?

The Pilot is a single 30-day delivery of five working modules at a flat $5,000 launch rate. It is the low-risk way into BuildXLR8. BuildXLR8 is the full operational system, built one 30-day milestone cycle at a time, scoped per build. Most clients begin with the Pilot and graduate into BuildXLR8, but you can start with BuildXLR8 directly.

What does BuildXLR8 cost?

Three tiers, all shown as from figures: Focused from $20,000, Operations from $40,000, and Full Platform from $75,000, with no ceiling on the top tier. Final scope is custom-curated after the Map and Scope. Each 30-day milestone is priced and agreed before it begins, acceptance-gated, and paid in advance, so there are no runaway costs. The total is the outcome of the cycle count, not a number we lock in at the start.

How long does BuildXLR8 take?

Each milestone is 30 days. Most builds resolve in three to six cycles, so three to six months of delivery time. Acceptance gates between cycles mean the next milestone is not priced, agreed, or started until the current one is signed off. You are never paying for two cycles at once.

What is the four-part guarantee stack?

On-Time Guarantee: each milestone ships on its date, or it is discounted, ten percent off per week late, capped at ten percent. Acceptance Guarantee: each milestone must meet written acceptance criteria before the next is priced, agreed, or started. Walk-Away Guarantee: stop after any 30-day cycle with no penalty, because each completed and signed-off milestone's code is already handed over to you. No-Deprioritisation Guarantee: founders accountable on every milestone, your build is never paused for a larger client.

Can we start with BuildXLR8 directly, without the Pilot?

Yes. For clients ready to commit, BuildXLR8 is scoped from the first call. Cycle one is structured to do the de-risking the Pilot would have done: requirements, design, and a signed-off prototype before the first build milestone starts. Most clients still prefer the Pilot because it is the cheapest first yes.

How is the code and documentation handed over?

The codebase is handed over at each milestone on completion and sign-off, so you hold what has been built as the engagement runs. Documentation, demo videos, and training are delivered at project completion, all per the agreed contract.

What happens after BuildXLR8 delivers?

The platform enters BuildXLR8 Assurance, the care plan that maintains it. Security patches, dependency updates, server maintenance, monitoring, and bug fixes against the accepted spec. Custom-priced per build, around ten to twenty percent of the build cost per year, prepaid annual. Hosting, if you want us to run it, is billed separately under our sibling brand WebXLR8.

If You Do Nothing

Six months in, the spreadsheets are still the operating system.

You hire one more person to maintain the workaround. The senior person stays the bottleneck. The next product launch waits on the report that lives in someone's head. BuildXLR8 is the bounded way out. Cycle by cycle, with the right to stop after any one.
